How to Manage Voicemail in 3CX




Setting Your 3CX Voicemail Greeting

Before you start

You record your greeting by calling voicemail from the 3CX app on your cell phone or from a desk phone. The steps are the same on both and take about two minutes.

Important: The 3CX app must already be set up (provisioned) on your cell phone before you can set up voicemail. If you don't know your voicemail PIN, submit an IT ticket. IT will reset your 3CX PIN and login info.

Have these ready, both from your 3CX welcome email:

  • Your extension number
  • Your voicemail PIN

The voicemail access number is 999. Until you record your own greeting, callers hear the 3CX default greeting.

Record your greeting

The 3CX cell phone app has no greeting option in its settings. Record your greeting by dialing into voicemail as shown below.

  1. Open the keypad in the 3CX app, or pick up your desk phone, and dial 999 (or press the Message button if your desk phone has one).
  2. Enter your voicemail PIN, then press #.
  3. Press 9 for Options.
  4. Press 8 for your voicemail greeting.
  5. Press 0 to start recording. Speak your greeting after the tone.
  6. Press # to stop recording.
  7. Press 0 to save it, or follow the prompt to listen and re-record.
  8. Hang up.

Test it: call your extension from another phone and let it go to voicemail. If you still hear the default 3CX greeting, contact IT.

Sample greeting

Hi, you've reached [Name], [Role] at Grace Church. I'm not able to take your call right now. Please leave your name, number, and a brief message, and I'll get back to you as soon as I can. Thank you!

Record in a quiet room, speak a little slower than normal, and keep it under 20 seconds.

Troubleshooting

Problem What to do
Can't find a greeting setting in the app That's expected. The app has no greeting setting; dial 999 instead.
Callers still hear the default greeting Contact IT. Your new greeting may need to be switched on for your status.
PIN is not accepted Check the PIN in your welcome email. If it still fails or you don't know it, submit an IT ticket to have your 3CX PIN and login info reset.
No welcome email Contact IT to have it resent.
Greeting sounds quiet or muffled Hold the phone close, record in a quiet room, and re-record.
